Overview

The Record Retention Assistant Vice President will manage the governance and oversight of the Record Retention program across the Bank. They will manage the Record Retention program activities and drive improvement in the overall health and wellness of the Bank’s Record Retention. The position will include supporting record/content management governance, which includes paper (onsite & offsite), electronic records (structured data and unstructured records), taxonomy, implementation and Business as Usual oversight. This incumbent will work closely with all lines of defenses to establish and maintain the value of the Record Retention program including but not limited to the protection of legal hold data, development of the Record Retention SharePoint site, improve quality of core Record Retention assets, standardized Record Retention policies and procedures, Responsible Record Retention processes and trainings. She/he will also oversee the Record Retention projects driven through the Record Retention Working Group.

Responsibilities

Record Retention Governance and Oversight

  • Provide strategic direction and management of the planning, development, and implementation of various projects and initiatives in support of the Record Retention program. 
  • Strengthen the Record Coordinator role within the Bank to ensure that all Record Coordinators are maintaining and monitoring the accuracy of the records their department creates and uses.
  • Perform Record Retention Training throughout the bank and be the advocate to ensure Record Retention is incorporated across all bank operations (inclusive of the Record Retention Policy, Retention Schedule and Record Retention Procedures).
  • Maintain and distribute the Record Retention Procedure, which will provide a guide on maintaining records, archiving/storage and destruction of records.
  • Conduct annual reviews of the Record Retention Schedule with stakeholders and Legal Office.
  • Monitor each department’s compliance with the Record Retention program.
  • Enforce compliance/adherence with the Record Retention procedure.
  • Conduct annual re-certification with the business to re-verify their records are in compliance with the requirements of the Record Retention Policy, including the retention and destruction.
  • In collaboration with Technology and Executive Office, oversee the inventory of the Bank’s records.
  • Be the CDO Liaison with other departments on all activities as it pertains to Record Retention.
  • Be the CDO Site Designer: Managing the design of the sites, sub-sites, list, libraries, pages, interface, etc.
  • Propose types of content for management of information in the CDO SharePoint site
  • Create SharePoint Governance Policies and Procedures that will define processes, roles and regulations for user interaction with SharePoint across the Bank.
  • Support the assessment, procurement and rollout of key records management solutions/software technologies.

 

Qualifications

  • Bachelor’s degree required; Master's degree preferred
  • Minimum 5 years of professional work experience in the Financial Services Industry focused on data is required 
  • Minimum 3 years of professional work experience in Record Retention is required 
  • 1-2 years of SharePoint/Document Management tool admin experience is required 
  • Strong analytical, strategic, project management, decision-making and problem-solving skills are required 
  • Strong communication skills (written and verbal) are required 
  • Leadership abilities are required 
  • Regulatory and compliance knowledge; financial/ banking industry knowledge; risk management knowledge are required 

Pay Range

Actual salary is commensurate with candidate’s relevant years of experience, skillset, education and other qualifications.

USD $65,000.00 - USD $150,000.00 /Yr.
