Overview

This position will perform key tasks to establish and maintain employees’ data including new hires, terminations and employment changes. Other duties include ensuring timely and accurate processing of full-circle multi-state semi-monthly payroll transactions and in compliance with government regulations and company policies, preparing all payroll related reports, assisting any other projects assigned by Benefit and Compensation team, etc.

Responsibilities

  • Payroll Management 
  • Review and record Review and record HR/Payroll/Benefits data into HRIS system, including new hire and termination and all the changes in between.
  • Data entry also including HR/Payroll/Benefits retroactive calculation and adjustments.
  • Review and make adjustment entry from attendance report.
  • Perform various payroll accounts reconciliations and resolve payroll discrepancies with relevant stakeholders including but not limited to FMD, OSD, and internal and external auditors.
  • Process termination payouts and off-cycle check request, including wires and ACH payments when applicable.
  • Maintain employees’ data including ACA 1095-C Tax forms
  • Respond to employee inquiries related to payroll, acts as the first level correspondent for questions/concerns and responses to the employees promptly.
  • Process manual checks as requested.
  • Prepare and distribute reports to appropriate parties (payroll, benefits deductions, employment tax, ACA, EEO, and Multiple Work Site etc.)
  • Partner with expat team on Expatriate payroll management, reporting requests and answer B&C related inquiries
  • Work with CPAs & expat team on Expatriate Year-end total compensation recalculation
  • Assist and review employment tax filings and other regulatory reporting requirements.
  • Assist with month/year end close and internal and external audit.
  • Ensure Payroll Processing follows applicable Federal, State, and Local regulatory reporting requirements and guidelines.
  • Assist Team Leader for maintain payroll guidelines, policies and procedures.
  • Process employment verification requests
  • Process unemployment claims related to payroll data inquiry.

Benefits Operations (15%)- Serve as the back up for Benefits side

  • Conduct benefits orientations (e.g. new hire, expels and open enrollment) and training webinars
  • Coordinate with open enrollment process and enroll/change participants in relevant plans
  • Coordinate with employee on Qualifying life events and inform Payroll processor of the related deduction changes.
  • Serve as employees’ advocate and internal customer service provider and respond in a timely manner to employee inquiries about benefits, FMLA , leave of absence and all other B&C related questions via shared HR email box, perform follow-ups as needed.
  • Assist employees with health, dental, life and other related benefit and inquiries
  • Review and validate calculations of the monthly premium statements, conduct internal cost reconciliation and report any discrepancies to supervisor.
  • Update benefits policies and procedure, employee guides as needed

 

HRIS 

  • Navigate and manage Dayforce systems configurations to ensure compliance change like sick pay, vacation etc.,
  • Audit the system data to ensure accurate data entry, system updates, and smooth HRIS operations.
  • Support system automation to minimize system errors and downtime, leading to a more efficient B&C operation
  • Generate monthly report for employee emergency contact for the business continuity plan
  • Complete various compensation surveys

 

Leadership and Training 

  • Manage day-to-day payroll operation and attendance administration –
  • Provide mentorship and coaching to junior team members if applicable

 

Other

Participate in special projects and other duties as assigned

Qualifications

  • Bachelor’s degree in business, Human Resources or other related fields is required
  • Minimum 3-5 years of experience in payroll processing, specifically full-cycle multi-state payroll, is required
  • Strong knowledge of full cycle of payroll operations, including benefits, and time & attendance is required
  • Solid understanding of the CA, NY and IL employment rules and regulations is required
  • Hands-on and in-depth knowledge of payroll system and reporting functions is required
  • Ability to handle confidential information and excellent communication skills are required
  • Previous exposure to benefit administration is a plus
  • CEBS, CCP, or SPHR, PHR SHRM-CP, and FPC/CPP Certification(s) preferred but not required

Pay Range

Actual salary is commensurate with candidate’s relevant years of experience, skillset, education and other qualifications.

USD $42,000.00 - USD $90,000.00 /Yr.
