Overview

The job of the Associate/AVP is to assist the Branch with HR & Administration Team in 1) Providing support for office daily operations, perform accounting related objectives, and support business development teams; 2) Assist with IT support to ensure the Branch’s efficient operation; 3) conducting financial analysis and support to business development teams; 4) Complying the information security and cyber security requirements; 5) performing general administration functions to ensure the branch’s efficient operation.

Responsibilities

Include but not limited to and other duties as assigned:

 

General Business Administration and Accounting

  • Support, promote, and enhance the Bank’s commitment to Diversity, Equity, and Inclusion;
  • Support ongoing special programs, such as office safety and COVID protocols, RTO support, etc.
  • Assist with HR related matters as directed by Branch Manager;
  • Understand and comply with Policy and Procedure related to CHB administration functions;
  • Perform essential office maintenance to ensure the daily operation efficiency under supervisor’s instructions;
  • Perform office management to make sure the daily operation effectively;
  • Keep communication and management of building management office and third-party vendor managements for continuous services;
  • Develop and update CHB Security Program;
  • Prepare the procurement process for office supplies and reconcile invoices against approved payment orders;
  • Participate in business receptions;
  • Assist for expat employee rental management;
  • Assist with internal/external audits/ examination;
  • Assist with sponsorship and other public relation project and events;
  • Support other teams of CHB/NYB on various reporting/ad hoc projects as needed;
  • Coordinate Account Payable request between CHB and NYB, responsible for AP review, record retention and payment distributing;
  • Monitor movements of balance sheet and income statement of the branch and investigate changes;
  • Assist to summarize and report financial projection and financial statements analysis to management;
  • Assist to analyze trend and variance of branch’s financial performance on monthly basis (profit/loss analysis, performance and budget variance, LLR etc.)
  • Coordinate and prepare monthly financial statements and reports (Profit/Loss Analysis, Balance Sheet etc.);
  • Assist with internal/external audits/ examination;
  • Assist with budget setting and review process such as IT fixed asset and Non-IT fixed assets;
  • Support other teams of CHB/NYB on various reporting/ad hoc projects as needed

IT Support

  • Provides IT support and escalate unsolved issue to ADC for assistance;
  • Conducts ID, system management, security access for Chicago Branch;
  • Submits, modifies and deletes related ID in OA system after receiving the approved ID instruction;
  • Initiate and coordinate with ADC’s ad-hoc projects, such as upgrade, issue check and etc.;
  • Provide software troubleshooting and solution to Chicago Branch;
  • Perform operation system/application management, such as upgrading and record management;
  • Assist with annual IT fixed asset inventory check;
  • Coordinate with ad-hoc projects from ADC and the Bank
  • Enhance Chicago Branch’s management on information security & cyber security based on the Bank’s requirements.

Monitoring and Compliance

  • Understand and comply with bank policies, procedures and regulatory requirements;
  • Assist with coordinating Liquidity, Interest Rate and Strategic risk;
  • Keep abreast of regulatory updates by attending trainings, webinars and seminars;
  • Ensure CHB’s risk management is in line with Banks’ Risk Governance Framework-Data Integrity;
  • Work closely with all departments in CHB to ensure data integrity in all uses;
  • Understand and comply with bank policies, procedures and regulatory requirements.

Qualifications

  • Bachelor degree or above with major in Human Resource, Business, Finance, Economic, Liberal Arts, Accounting or IT-related is preferred.
  • Minimum of 5 years of related working experience required for AVP position; 1-5 years of related working experience required for Associate level position.
  • Knowledge of banking, accounting, or financial services functions.
  • Analytical and problem-solving skill is preferred.
  • Knowledge in financial statements compilation is preferred.
  • Knowledge in IT, information security and cyber security is preferred.
  • Project management / security management / risk management and assessment / due diligence processing knowledge is preferred.
  • Problem solving and critical thinking is required.
  • Bilingual ability in English and Mandarin is preferred.

Pay Range

Actual salary is commensurate with candidate’s relevant years of experience, skillset, education and other qualifications.

USD $42,000.00 - USD $150,000.00 /Yr.
